User Management: Manage user work

In the section we will look at some basic tools to manage and monitor the work done by users. Making use of the Team Administrator privileges, team leaders can manage and monitor their own teams without requiring access to these features for all the users. We will look at the following:

  • Monitoring the users’ diaries.
  • A user monitoring his/her own activities completed
  • Drawing insightful graphs with information on the work done by the team.

User Diary

The Electronic Diary in Case Manager, located in the default view at the top of the navigation pane on the left, is used to manage the work to be completed by a user. When instructions on cases assigned to the user are due, the diary will indicate it.

The diary gives a user a quick overview of all the tasks due to be completed. Team Administrators are allowed to see the diaries for each of the users in the team he/she administers. At the top of the diary, a drop-down control shows all the users the current user is allowed to see. Simply change the drop-down to the name of the user you wish to view, and click the refresh button next to the control. This will reload the diary with the values for the selected user. A team leader can use this to see the work still needs to be completed by a user.

Dashboards

There are two different types of dashboards available in the main Case Manager application: the User Dashboard and the Dashboard Viewer. The user dashboard gives the currently logged-in user an overview of the work done / activities completed in a specified period of time, whereas the Dashboard Viewer is aimed at more administrative users, and shows more informative graphs and metrics. These dashboards can be accessed from the main menu bar in Case Manager.

User Dashboard

When a user needs an overview of the tasks already completed (or needs to revisit a specific case completed earlier) he/she may make use of the User Dashboard. This dashboard shows all the completed tasks by the user in the specified time period. From here a case may also be opened again by selecting the relevant completed task and clicking on the blue circle button.

Dashboard Viewer

The Dashboard shows more comprehensive charts of the information. Available dashboards are listed on the left, and available parameters for the selected dashboard are shown at the top. This can provide essential information to track trends and behaviors in your organisation. Data from the dashboard is also exportable from the chart should you wish to further analyse it.
